There are different Payroll Jobs and so their job descriptions are different. These include Payroll supervisor, specialist, manager, and Payroll coordinator. Others include Payroll tax specialist and Payroll sales representative.

Example 1: Payroll Specialist Job Description

Job Summary:

The Payroll Specialist will be responsible for processing payroll for approximately 1,600 employees weekly for Company's U.S. and international locations, including sorting and opening payroll packages, data entry and retro calculation.

Job Description:

The Payroll Specialist will perform all or some of the following job description:

  • He/She will research and resolve time and attendance interface issues before payroll is processed, verify payments and prepare checks and reports for distribution

  • The Payroll Specialist will file payroll source documents and reports, research and process off cycle and exception items (e.g., manual, void and unclaimed checks, cash payments, etc.), communicate with assigned locations and maintain excellent customer service relationships

  • He/She will support field inquiries and assist the Field Support team in researching items, monitor and record key compliance issues for locations, reconcile assigned general ledger accounts and prepare and enter journal entries as required

  • The Payroll Specialist will distribute W-2 Forms and reprint requests, complete special projects accurately and within the allocated timeframe

  • He/She will process weekly, bi-weekly and monthly payroll

  • Verify data accuracy and assist with error resolution

  • Run reports and post payroll

  • Perform Ad-hoc reporting

  • The Payroll Specialist will review and utilize existing payroll processes and policies to create a more efficient payroll process

  • Assist in payroll issue resolution with IT support, Center for Employee Services, and other partners

  • The Payroll Specialist will help Payroll Department to align with long term departmental goals while providing cost effective process solutions

  • He/She will perform special projects as needed.

Minimum Requirements / Knowledge / Skill For Payroll Specialist Job

  • 5+ years experience processing payroll (inclusive of payroll processing across multiple states/sites and business units)

  • He/She should possess the ability to work independently and diplomatically, and to maintain confidentiality at all times

  • Possess strong interpersonal and communication skills to build effective working relationships with all levels of the organization

  • Possess strong problem-solving and decision making skills

  • The Payroll Specialist should have strong aptitude and proficiency in MS Office products; including Word, Excel, Outlook and PowerPoint

  • He/She should be a strong team player

  • Possess proactive approach to work and high degree of attention to detail

  • He/She should be conscientious with a high level of accuracy

  • The Payroll Specialist should have strong ability to multi-task with good time management skills

  • Possess strong organizational skills

  • Excellent written and verbal communication skills to foster strong relationships at all levels

  • The Payroll Specialist must have the ability to provide world class customer service to all levels in the organization

  • He/She must be able to work under time constraints to ensure critical deadlines are met

  • He/She must stay current with US Payroll regulations as well as application of Company policy to payroll processes

  • The Payroll Specialist should have SAP Payroll experience including Time Management software.

Example 2: Payroll Accountant Job Description

Job Summary

The Payroll Accountant will be responsible for independently managing and accounting for payroll tax reporting and payroll disbursements using SAP. His/Her position will be a key liaison with the Finance Organization, inclusive of the Tax, General Accounting, Accounts Payable, and Treasury functions.

Job Description:

The Payroll Accountant will perform all or some of the following job description:

  • He/She will prepare reconciliation of the payroll and tax general ledger accounts

  • Perform bank reconciliation

  • Prepare for and present at balance sheet review

  • The Payroll Accountant will create blackline entries

  • Perform Budgeting/Forecasting

  • Maintain overhead and payroll accrual

  • He/She will prepare journal entries for payroll overhead allocation and internal order settlement

  • The Payroll Accountant will perform on-cycle and off-cycle posting to accounting

  • Execute escheat process

  • Create manual journal entries

  • Provide summary annual reporting for Proxy statement requirements

  • The Payroll Accountant will ensure Sarbanes Oxley guidelines are followed

  • He/She will participate in internal and external audits of payroll department

  • Perform third party processing and reporting

  • Prepare Workers' Compensation reports

  • The Payroll Accountant will process various payroll files including Ex-Patriot US employees and Canadian employees

  • He/She will perform Ad-hoc analysis and reporting

  • Assist in payroll issue resolution with IT, CES, and other partners

  • The Payroll Accountant will perform special projects as needed.

Minimum Requirements / Knowledge / Skill For Payroll Accountant Job

  • The Payroll Accountant should have three to five years of experience in a payroll processing role

  • He/She should have experience with ADP Product

  • Possess strong proficiency MS Office applications especially Excel

  • Strong analytical and problem solving skills

  • The Payroll Accountant should demonstrate commitment to standard work schedule to support the Payroll Department

  • He/She should possess excellent verbal and written communication skills

  • The ability to work independently and successfully in a deadline-oriented environment

  • The Payroll Accountant should possess strong time management, project management, task prioritization, and organizational skills

  • He/She should possess the ability to interact with all departments and levels of the organization

  • Possess the ability to work in developing environment

  • The Payroll Accountant should be a team player with the ability to express ideas that will empower the team in becoming “first in class”

  • He/She should be able to assist with miscellaneous functions as may needed by the company

  • He/She must be dedicated, self-motivator, detail-oriented, and possess ability to multi-task

  • The Payroll Accountant should have a confident and strong outward personality

  • He/She must be able to demonstrate excellent background in payroll preparation (payroll accounting is a plus).

  • The Payroll Accountant should possess experience using SAP for payroll and/or accounting purposes.

Minimum Educational Requirements / Certification / Licensure For Payroll Accountant Job

  • Bachelor's degree (B. A.) from four-year College or university preferred.
